From “what the patient says” to the right slot

Waymira sits in a browser tab next to your clinical system. Your receptionist describes the problem, and gets a clear, explained suggestion from your practice’s own appointment list.

A clear suggestion, with its reasons

The receptionist types what the patient says in their own words. Waymira returns:

  • A recommended appointment type from your slot list, for example duty doctor via Accurx, paramedic, physician associate, pharmacist, Pharmacy First, nurse clinics, physio/MSK or an urgent suspected-cancer slot.
  • A confidence level and ranked alternatives if the first choice is full or not right.
  • Questions to ask to fill in what’s missing.
  • Safety-netting wording to read out to the patient.
  • The NICE guidance and practice protocol lines it relied on.

Live call assist

Support during the call, not after it

With live call assist, Waymira listens to the phone call through your softphone (for example Surgery Connect) and the receptionist’s microphone.

  • A live transcript, so nothing is missed.
  • Red-flag alerts the moment something worrying is said.
  • “Ask now” prompts while the patient is still on the line.
  • A plan at the end of the call: suggested slot, alternatives and safety-netting.

You control when it listens. Transcription only runs when the receptionist presses Start call. Names, dates of birth and addresses can be masked in the transcript.

What happens when a receptionist asks for a suggestion

  1. Red-flag rules first

    Fixed, deterministic rules check for emergencies before any AI is involved. If one matches, the receptionist sees a clear instruction: 999 or the duty doctor.

  2. Matched to your practice

    The AI compares the patient’s words with your slot types, your protocols and relevant NICE guidance. If it is unsure, it says so and leans towards escalation.

  3. Explained, then decided

    The receptionist sees the suggestion, the alternatives and the sources, and makes the decision. Everything is recorded in the audit log.

Your protocols, your way

Every practice is different. Practice admins can:

  • edit protocols in plain English;
  • upload existing PDF or Word protocol documents;
  • manage your slot types, such as ARRS roles, nurse clinics and Pharmacy First;
  • manage your red-flag rules.

Learns from your team

Your receptionists know your patients and your clinicians. When they book something different from the suggestion, they record why.

  • The reason goes to your clinical lead to review.
  • Approved corrections guide future suggestions.
  • Nothing changes without clinical sign-off.

What Waymira doesn’t do

  • It doesn’t diagnose, and it doesn’t replace clinical judgement.
  • It doesn’t book appointments on its own. Your team books in your usual system.
  • It doesn’t yet integrate with Accurx, EMIS Web or SystmOne. It runs alongside them.
  • It doesn’t listen unless the receptionist presses Start call.
